Eliminate the document clutter

Files get siloed across inboxes, shared drives, and multiple platforms. Critical approvals get lost. Audits turn into fire drills. Our document repository gathers all your documents into one place, connects them to your workflows and vendors, and makes them instantly searchable.

  • What is Opstream’s Document Management software?

It's a centralized repository for all files linked to vendors, software, and requests. Upload files or link them from approved storage, categorize them (for example, contract or compliance certificate), and track status. Documents default to Active and automatically switch to Expired when the End Date passes. With the AI Extraction add-on, key metadata such as Start Date, End Date, and Amount is pulled from uploads for quick human validation.

  • What types of documents can I store and manage in Opstream?

Any file tied to procurement operations, including contracts, SOWs, invoices, quotes, NDAs, SOC 2 reports, security certificates, and technical specs. Upload directly or link externally, categorize by type, and let Opstream auto-update status to Expired when validity ends. AI Extraction can capture and populate metadata from contracts and certificates.

  • How does Opstream use AI to organize and search documents?

AI Extraction detects document type and pulls fields such as dates and amounts, then marks an Extracted Data Status until a user validates the data. After validation, fields populate automatically for consistent records. Use the Documents menu and Global Search to find files by vendor, software, request, category, or attribute.

  • Can I control access and track changes to documents?

Yes. Role-based permissions control visibility and actions. Visibility can inherit from parent objects, so a document attached at the Vendor level is visible to related products and software. Detailed audit logs and per-request activity logs capture every action for compliance and investigations.

  • Does Opstream integrate with my existing tools and systems?

Opstream connects to ERPs such as NetSuite and Workday for PO generation and vendor creation, CLM and eSignature tools like Ironclad and DocuSign, communication and ticketing like Slack and Jira, and systems across GRC, HR, payments, and budgeting. These integrations keep documents and workflows in sync and reduce manual work.

  • How does Opstream help with compliance and audit readiness?

Critical evidence such as SOC 2 reports and certificates is centralized and tracked. Autonomous workflows enforce internal policies by triggering Legal, GRC, or Infosec reviews when needed. Exportable audit logs record every action, keeping teams continuously audit-ready.

  • How does this differ from a standard file-sharing platform?

Opstream embeds document management inside procurement workflows. Files are linked to the exact vendor, software, or request, AI Extraction captures key fields, and statuses update automatically on expiration. This creates contextual records and audit trails that typical file-sharing tools do not provide.

  • Who benefits most from using Opstream Document Management?

Legal, Compliance, and Security gain centralized contracts, evidence tracking, and automated review workflows. Procurement and Finance link quotes, invoices, and contracts to vendors and requests for full spend and lifecycle visibility. AI Extraction reduces manual entry for all teams.
